Innovative Regenerative Medicine and Interventional Pain Management Clinic is seeking an experienced Office Manager for our clinic located in Broomfield, CO.  This is a challenging position in a fast-paced setting.  Seasoned Practice Administrator on premises with complete support ability. Responsible for the organization and supervision of all administrative and clinical office activities for a physician practice with four physicians. Manages daily office operations and delegates work assignments to staff and clinical leads. Coordinates and oversees daily office schedules, patient flow and customer service for the entire physician office.



High school diploma plus some college coursework  Bachelors degree preferred



5-7 years of office management experience with a concentration in healthcare policies, procedures, and systems.    Manager must be proficient with coding, charge entry, payment posting scheduling, check-in, and medical records management as well as office budgeting and inventory control.  Manager must also be computer literate and able to operate multiple Microsoft Office applications.



Manager must be able to:

-          Effectively supervise and provide leadership in a busy office setting

-          Multi-task many different job needs and prioritize them effectively

-          Work under pressure; assess, respond to, and communicate issues in a timely manner

-          Maintain composure and set professional examples to staff and patients

-          Interpret and apply clinical and non-clinical policies and procedures

Interface well with patient contacts within the community



Duties include but are not limited to:

-          Manages the day-to-day operations of physician office; identifies, analyzes, and resolves daily workflow issues for 20 staff members

-       Has competent and complete understanding of billing coding for physicians.  Pain experience a plus 

-          Manages the recruiting, hiring, development, and evaluation of all clinical and non-clinical staff

-          Ensures office is appropriately staffed during all clinical and non clinical hours; manages staff overtime to the need of the office

-          Manages with staff physician schedules for multiple locations and visit types

-          Ensures requests for information and record releases are handled promptly and effectively to guarantee payment on patient accounts

-          Abides by and promotes HIPAA compliance; maintains strictest confidentiality with regards to patient information

-          Conducts weekly or bi-monthly staff meetings to keep staff informed of policies and procedures

-          Interface with physicians to assure maximum efficiency in operations

-          Ensures patients are treated courteously by office staff and that other visitors are screened and properly directed

-          Acts as the formal contact person for referring physicians and patient contacts

-         Supervise all staff for acquisition of complete and accurate patient demographic and billing information

-          Manages financial counseling staff to ensure fiscal security of all patient visits

-          Balances patient payments daily; oversees collection of charges and fee tickets to be sent to business office

-          Monitors the general office budget and coordinates all bills with the Accounts Payable Department

-          Any other duties and or special projects as assigned
