Our client is seeking a Senior Administrative Assistant in Philadelphia, PA.
Earn $17.00 to $17.10 per hour at this full-time, temporary position. Work 37.50 hours per week, Monday - Friday, 8:30 AM - 5:00 PM.
Job Description:
Manage calendar, coordinate and schedule meetings in place of current Executive Admin as required
Ensure that filing is completed accurately, timely and neatly
Answer phone calls, screen calls and take concise, accurate messages
Print information required for meetings
Creation and edit of assigned management and department presentations
Manage calendars for the Senior Directors, inclusive of PTO for direct reports
Preparation of expense reports and area invoice processing as required, inclusive of conference registration
Coordinate and schedule meetings for the team, inclusive of conference room reservation, conference line management and NetMeeting ID’s
Coordinate all on-boarding activity for new hire activities including, but not limited to, desk preparation/clean up, security access, phones, computers and new employee binders
Records retention coordinator and general filing
Support team related activities in these areas
Creation and edit of assigned management and department presentations
Distribution of mail
Single point of contact with facilities (FP&A, Corp Accounting, Billing), especially during the 2011 moves for these areas
Cleanup of vacant cubicles, common areas and other areas on 42nd floor as needed
Lead Coordinator with Facilities for the floor moves involving FP&A, Accounting and Accounting Ops
Coordination of clean up of 42nd floor filing room; ensure filing space needs are met for both FP&A and Accounting both on the floor and in the newly designed filing space
Town Hall presentation development and logistics coordination
Tracking of Bisk CPE videos that are borrowed by staff for CPE
Assist in the development of department websites on the iWay for FP&A and Corporate Accounting
Assist in the coordination of external audits as required
Requirements:
Must have at least 2 years of general office administration experience
Must have High School Diploma/GED; Bachelor's Degree preferred
Excellent written and verbal communication skills
Solid working knowledge of the entire Microsoft Office Suite of applications (Word, Excel, Outlook, PowerPoint)
Analytical, solutions driven, good judgment
Collaborative and effective team player
Strong relationship development skills
Ability to organize and prioritize multiple projects and responsibilities
